Circulating an Item to a Reader

In order to circulate an item:

  1. Log in as a managerial user using the 'SmithW' user account, then select [Manage] > [Circulations]

  2. Enter our the reader barcode '00001' into the [Reader] search field

  3. Enter our catalogue item barcode '000001' into the [Item] search field

  4. The circulations dialog should have found a reader and item combination and displayed their details on the screen.

  5. Circulations will calculate the correct duration and due date for the circulation based upon the information that we configured in the Lookup Manager, then entered in the Reader Manager and Item Manager when we added the new records.
  6. At this point, we can simply click [Issue] to circulate the item to the reader.
  7. If Circulations displays '0' as the suggested duration, this means that something in the calculation prevents the issue from taking place. The [Start Date] is simply calculated from the current day, but the other entries in the calculation check list could be a problem because:

    1. [Profile Basic Duration] - you may not have provided the reader with a Circulations Profile. This problem will also influence other entries in the check list, but will affect this line first.

    2. [Maximum Number of Items] - the reader may already have more items on loan than are permitted in the Circulations Profile attached to the reader.

    3. [Item Media Override] - will probably not stop the circulation, but may introduce a calculated number of days that you were not expecting.

    4. [Account for closures] - again, will probably not stop the circulation, but may lead to a due date that you were not expecting.

    5. [Membership Expires] - will stop the circulation if the reader membership of the library expired before the book would be due back.

    6. [Membership not valid] - will stop the circulation if the reader membership date is in the future.

    7. [Audience Restriction] - the reader is not permitted this item because the audience of the book is not checked in the Reader Audience attached to the reader

  8. If the circulation is restricted but you wish the circulation to go ahead in any case, simply click the checkbox to *OFF* in order to remove that component from the calculation.

  9. If you want the circulation to continue but with a different duration or due date, simply click in the appropriate [Due] or [Due Date] field (or the [?] button to use the calendar) to specify your own custom circulations dates.

Returning the Item

In order to return the item:

  1. Enter the Item Number into the [Item] search field to display the item

  2. The Circulations dialog will recognise that the item is on loan and automatically display the reader details.

  3. In order to return the item to the catalogue, click the [Return] button.

  4. If you wish to re-issue the item (e.g. extending the loan period), modify the duration details if required then click [Reissue].

  5. Note that if the reader is at the limit of possessed items, or the item is otherwise reserved for someone else, the calculation list may prevent the re-circulation from occurring unless manually override by a manager.
