Catalogue: Finding Duplicate Items

Although Mystic prompts a warning if a staff user is attempting to change an existing item or create a new item to an existing accession number, there are occasions when two or more items can enter the catalogue with duplicate barcodes.

This can often happen for example, if an import file from a vendor is imported twice, or an error has occurred externally to the library and two duplicate barcode numbers have been attached to books.

The [Find] toolbar icon in the [Duplicates] group of the [Tools] toolbar tab allows the user to search the database for duplicate accession number uses. If such uses are found, it is possible to merge these items by clicking the red cross on a row to make it a green tick, which then includes that row in any fix. Click the [Merge] command button to merge the two items together and tidy any duplicate indexing attachments.

Note that unless the two items are clearly duplicates of the same item (e.g. the titles are the same), it is recommended to note the accession numbers that are duplicated and then manually investigate the duplication. If the two (or more items) have different titles, it is better to confirm if the the items are all valid and in the library, and then to manually change the items to possess unique barcodes.
