Catalogue: Catalogue Options and Settings

The [Options] tab of the Catalogue Items Manager provides the ability to modify the way in which the manager dialog performs its tasks.

As in all managers there are two different types of options and settings.

Personal User Options

Personal user options are options that affect how the catalogue manager performs only for the current user. Once set to a particular option they will remain that way persistently (i.e if you logout and then back in, the option selected will remain), but only for the current user. If a different user wishes the catalogue manager to perform in the same way, they must choose that option within their own user account when logged in.

Most personal user options are represented by toggle buttons on the [Options] toolbar:

  • Aspect - The Aspect option is now largely deprecated in Mystic v1.5. Selecting the Aspect option preserved the size and position of the Catalogue Items Manager between sessions.
  • Maximise - The Maximise option is now largely deprecated in Mystic v1.5. Selecting the Maximise option maximises the size of the Catalogue Items Manager when next displayed, filling the workspace area.
  • History - The History option automatically loads the circulations history of a selected item.
  • Paging - The Paging option displays a menu in which the user can select the size of the page (i.e. number of items) to display when a refresh of the list is performed. It is recommended to keep the page size as small as possible, and use the [Back] and [Forward[ toolbar icons to move between pages.
  • Barcode - The Barcode option displays a menu in which the user can select how barcodes are generated when the [Create] button is selected. [No Precalc] performs no actions, and issues the barcode in the <New…> format; [Precalc] pre-calculates a new barcode based upon the last number used; [Scan Before Creation] requests a barcode from the user (e.g. scanned from a new book with the barcode already applied).
  • Purge - Determines whether any item removed from the database is instead transferred to the [Purge Bin] rather than removed. (Note:Any item removed again when already within the purge bin is totally removed from the system).
  • Donate - The Donate option is now largely deprecated in Mystic v1.5. This option states that once a catalogue is made, is can be used to update a record in HUB Bibliographic database.
  • Search - This option states that when a serial number (e.g. ISBN) is entered on a new item, the HUB Bibliographic database be searched when the user moves on (e.g. by pressing [TAB] or selecting a different field with the mouse). If found in the bibliographic database, the Catalogue Item Manager will populate what fields it can with data from the recovered record.
  • Update - This option states that in appropriate fields which would support the action, pressing the [Enter] key on the keyboard will update the record in the same way as clicking the [Update] button or [Update] toolbar icon.
  • Manual - This option states that automatic item list refreshes should not be undertaken, and the list should only be updated when the user manually clicks the [Refresh] toolbar icon or otherwise undertakes another action which would update the list (e.g. pressing [Enter] in one of the filter criteria fields). Setting the list refresh to manual greatly reduces the amount of network traffic, preventing the list from updating itself on each new record creation or minor record modification.

Global Settings

Global settings and options govern the way in which the catalogue manager performs for all users. Access to these options is therefore only permitted to suitably authorised staff users. Some settings that are available for editing in the Catalogue Manager are equally applicable to other areas of the Mystic application (such as minimum barcode lengths, barcode prefix removal etc.) and therefore altering them here will alter them in all areas of the Mystic application.

Global settings for the catalogue manager are found in the [Options] toolbar tab, and displayed by clicking the [Settings] toolbar button. A standard local options is displayed - save the changes to the settings once edited.

  • Remove Scanner Affixes - These two fields provide a way to enter any scanner affixes that should be removed from any input prior to the barcode being used within Mystic. One of the most common affix that needs to be removed is the tilde (~) prefix.
  • Strip Then Buffer - The Strip-then-buffer option tells Mystic to strip any inputted barcode back down to its most basic form (e.g. 000101 becomes 101) prior to buffer it back to the correctly recorded HID Formats for catalogue accession numbers. Setting this option allows for the rare cases (usually as a result of importing several generations of library catalogue) where older barcodes have a long format but which need to be modified to a shorter standard format now adopted by the library (e.g. [000101] strips to [101], then may be re-buffered to [0101] if the new standard barcode length is 4).
  • Minimum Barcode Length - This option states what the minimum barcode length should be when scanning / typing barcodes. If a barcode smaller than this minimum is entered, Mystic will buffer the barcode to the minimum length before performing creations, searches etc.
  • Allow Attachments - States whether Mystic should allow attachments to Catalogue Items.
  • Allow Duplicate Barcodes - States whether Mystic should allow duplicate barcodes, or to challenge the user when an attempt is made to use a barcode already in the system.

Note that all values displayed in the Local Options dialog are also available for editing in the System Information category of the Lookup Manager.
