===== EMail: Send Email Report =====

In order to send an email to all readers which are returned as a result of a general report, select an Email enabled report from the **[Staff Menu] > [Reports]** menu. At this time, only the **[General Email Report]** is available for use.

For a reader to be sent an email as a result of running this report, they must have a valid Email address configured in their [[PergamonMystic:linkedhelp:email_send_reader|Reader Contact Details]].

==== Using the Report ====

Start the report as normal and complete any criteria that you wish to use which will restrict which readers will be returned by the initial search of the database. In the case of the **[General Email Report]**, there are three criteria currently in use.

  * **Grouping** - Restrict the readers only to the selected group / class.
  * **Number** - Restrict the readers only to the barcode pattern entered
  * **Restrict To...]** - Restrict the readers only to those who have one of the possible options in the drop-down, currently: Any readers, Readers with any items on loan, or Readers with overdue items on loan.

The three criteria can be utilised together in a boolean **[AND]** fashion, so selecting a grouping and overdue items will return only those readers with overdue items in that specific grouping.

Once criteria has been entered, enter the Subject and Body text that you would normally also enter into any conventional email system. In this case however, the Subject and Body text entered will be repeated for each reader identified by the report.

In order to include information which is tailored to the specific reader, use the macro system which is also available for use with the Warning Letters and General Return Request Report. Details of the macros in use can be found in the [[PergamonMystic:linkedhelp:report_formatting_macros|Reports: Report Formatting Macros]] help article.

Note however, that all macros described which modify text appearance (such as font family, size etc.) are not available for use in emails.

==== Report Macros ====

The following reader macros are of particular use in Email reports, allowing reports of items to be included in the email body text:

The following auto-generated text macros are available only when used within an EMail report and where a reader HID (barcode) is available:

  * [READER_CIRCULATIONS] - All of the current readers live circulations
  * [READER_OVERDUES] - All of the current readers live overdue circulations
  * [READER_HISTORY] - All of the current readers circulations history (live and archived)

Note that the macro should be included in the text where the embedded report is required, usually before the form sign-off.

==== Saving Email Templates ====

Pre-formatted email templates can be prepared and stored for repeated use (e.g. regular sending of overdue warnings) by using the [[PergamonMystic:linkedhelp:report_templates|Report Template System]].
